The short answer
Check the completed work against the agreed scope and approved finish references. Record incomplete items by location, confirm care and use restrictions, and collect the final product schedule. A clear written closeout is more useful than a verbal “looks good”.
Bring the documents used to approve the work
Use the agreed room and surface list, colour approvals and any written changes. Walk the site with the authorized project contacts so questions have an owner. Check excluded work against the scope rather than treating every unpainted surface as a deficiency.
Inspect under the agreed viewing conditions appropriate to the space. Record concerns clearly with a room name, surface and photo. Avoid vague entries such as “fix office” that leave the contractor guessing about the location or issue.
Keep the deficiency list actionable
A useful entry has an identifier, exact location, observation, agreed action, responsible party and follow-up date. Distinguish an unfinished item from newly requested work. If there is disagreement, record the open question rather than marking the item complete.

Hand over information as well as surfaces
