The short answer
Put the Saskatchewan WCB clearance check into the commercial painting payment workflow before an invoice is released. Assign who obtains the response, who reviews it and who acts on unresolved status. Keep this account-related decision separate from accepting the painted finish or resolving a contractual payment dispute.
Make the clearance step visible to accounts payable
When arranging a Saskatoon commercial repaint, ask the person responsible for contractor administration how the WCB check reaches accounts payable. Record the party hiring the contractor, the contractor's identity and the project reference. Have the administrator confirm the information needed for the request rather than relying on a name copied from a vehicle or a quotation header.
Saskatchewan WCB describes clearance as its permission for a principal to pay a contractor for completed work. Its current guidance places the check after the work and before payment, and directs principals to obtain clearance before paying contractors. Route questions about how that process applies to the contract to WCB; a painting guide cannot decide an account's status.

Keep finish acceptance and payment clearance separate
A walkthrough can establish which painting items are complete, deficient or outside scope. It does not itself produce a WCB response. Conversely, a clearance does not show that the walls meet the contract. Give the property team and payment administrator separate fields to complete so that one form of acceptance cannot accidentally stand in for the other.
Retain the response actually obtained for the request and connect it to the contractor and work being paid. An account number, an old attachment or a verbal statement that paperwork is handled should prompt verification, not an inferred result. If the documents do not clearly correspond to the payment under review, ask WCB what is required before relying on them.
Create a route for anything other than a clear response
The WCB page describes several possible responses, including cleared, deemed, hold, demand and pending. Those outcomes are not interchangeable. Have the assigned administrator follow the actual WCB instruction and seek clarification when necessary. Do not rewrite a non-clear response as approved simply because the work is finished or a supplier is requesting payment.
Agree internally who receives an unresolved response and who communicates the next administrative step through the established contract process. Keep any commercial dispute, invoice error or deficiency separate in the record. This checklist does not authorize withholding a disputed amount, calculate premiums or replace advice on payment obligations. Those questions need the responsible agency or qualified adviser.
Close the payment record without making broader claims
In an illustrative office repaint, the site manager could approve the finish while the payment administrator is still awaiting the applicable response. Record both states accurately. The administrator should document the subsequent instruction and payment decision in the appropriate business system, rather than asking the site manager to certify an account condition the manager has not checked.
Store only the necessary supporting records with controlled access under the organization's recordkeeping practices. On a later project, return to the current WCB process instead of copying the previous project's completion note. Ask about this administrative responsibility during a commercial painting scope discussion. Nothing in this article verifies PainterzRus's registration, clearance, insurance, qualifications or current account standing.
Keep this for your project
Your planning checklist
- Name the contractor-payment administrator before invoicing.
- Confirm the correct contractor and work references for the request.
- Obtain and review the applicable WCB response before payment.
- Keep painting deficiencies and clearance status in separate fields.
- Resolve unclear instructions with WCB and retain the payment decision.
Is a signed painting walkthrough the same as WCB clearance?
No. A walkthrough addresses the agreed work; WCB clearance addresses the contractor-payment process described by WCB. Record both where applicable and do not infer either result from the other.
